From setup to event day

The operational tools behind a real venue booking workflow.

VenueDesk has grown beyond venue and package setup. It now connects availability, booking operations, agreements, payments, customer communication, and event-day work.

01

Booking calendar

Use day, week, and month views with venue filters, booking status, blackout visibility, and upcoming-event context.

02

Availability and rescheduling

Offer discrete reservation blocks that honor duration, setup and cleanup buffers, closed days, blackouts, booking windows, and existing reservations.

03

Contracts and e-signatures

Create reusable agreements, import text-based PDFs, assign contracts to packages, and capture immutable electronically signed booking copies.

04

Stripe booking payments

Connect the venue's own Stripe account for customer deposits and balance payments, with manual payment recording and refund controls for staff.

05

Customer portal and PDFs

Give customers a secure place for event details, agreements, payments, invoices, receipts, signed contract PDFs, and shared documents.

06

Customers and communications

Keep a tenant customer directory and booking history, then configure booking emails, balance reminders, event reminders, and contract/payment notices.

07

Checklists and activity

Build package checklist templates, copy them into each booking, update event tasks, and keep an activity trail around booking operations.

08

Team roles

Invite Owners, Admins, Managers, and VenueStaff with role-safe controls. VenueStaff stays focused on manual booking creation.

09

Venues, packages, and branding

Keep capacity, duration, pricing, deposits, availability rules, logo, brand color, and the customer-facing venue URL together.

Common questions

What the current booking workflow can do.

VenueDesk now covers more of the operational booking lifecycle while keeping the venue's data and customer access scoped to the tenant.

Can customers pay online through VenueDesk?

Yes. The venue can connect its own Stripe account. Once that account is ready, customers can pay eligible deposits and remaining balances securely through Stripe from their booking portal.

Can a contract be required before payment?

Yes. Packages can be assigned an active contract template. Public bookings can create an agreement snapshot automatically and keep payment locked until the customer reviews and electronically signs it.

What is in the customer portal?

The secure booking portal has Overview, Contract, Payments, and Documents areas. Customers can see event details and balances, sign or download agreements, pay, view payment history, and download invoices, receipts, and files the venue shares.

How does the booking calendar handle unavailable dates?

The public and staff booking calendars share blackout-aware rules for venue blackouts, closed days, booking windows, buffers, and existing reservations. Authorized staff can also reschedule active bookings with availability rechecked before saving.

Can staff have limited access?

Yes. VenueDesk supports role-aware team invitations and permissions. VenueStaff stays focused on manual booking creation and does not receive existing-booking, payment, contract, customer, checklist, or account administration access.
